Background:
Our company specializes in providing IT services to banking and healthcare clients. We recently faced an issue with email delivery latency due to tenant geolocation differences. The source tenant was in India, while the target tenant was in the United States. The migration involved moving 250 users and their data to overcome the email delivery latency problem.
Objectives:
The primary goal of the migration was to improve email delivery speed by relocating the tenant closer to the users’ primary location. This would allow us to offer a better experience to our clients and their customers and enable the organization to centralize its IT infrastructure.
Planning:

Our IT support team carefully planned the migration process, ensuring all aspects of the source and target tenants were accounted for. Proper backups of user data, mailboxes, account settings, policies, and permissions were taken before migration. Our management team worked closely with the clients to review and finalize the action plan. The timeline for completion was set at 30 days.
Execution:
The migration was carried out using a popular data migration tool that facilitated the transfer of data, mailboxes, and account settings between the source and target tenants. We took additional measures to minimize risk, such as creating a dummy tenant in the target location to validate the migration process. This involved setting up the tenant infrastructure and migrating a small subset of users as a pilot before proceeding with the full migration.

The migration was executed in phases, beginning with user mailboxes, data storage, and OneDrive content. We closely monitored the migration process and performed verification tests at each stage to ensure data integrity and compatibility.
Challenges and Solutions:
During the migration, a few users experienced issues accessing their mailboxes and data. These issues were mainly related to connectivity and account synchronization. We proactively verified the configurations and applied the necessary fixes, such as adjusting network settings and reapplying policies. Additionally, we provided support to users experiencing authentication or access issues.
Outcome:
The migration was completed within the planned timeline, resulting in significantly improved email delivery speeds and enhanced performance for our clients. The ability to handle different domains within a single domain environment streamlined IT management and administration for our clients.
Post-Migration:
After the migration, we conducted extensive testing and monitoring to ensure all systems were functioning optimally. We verified network and email settings, as well as user permissions and access controls. Additionally, we offered support and training sessions to help users familiarize themselves with the new environment and address any questions or concerns.

The tenant-to-tenant migration was a success, achieving the desired improvement in email delivery latency for our clients.
